Sales and Show Entry Information

Sellers and Show Entrants: Please note that all plants must be nursery propagated. See the IAS Statement on Unethical and Unsustainable Collecting for more information.


Vendor Sales

*2023 vendor spots are now full. Please consider selling at our members table (see below) or look out for opportunities next year.

Requirements

  • To be a vendor at the annual show and sale you must be a member of the IAS in good standing and contribute two plants to the auction sale to be held at the dinner event on Saturday night.
  • A vendor application (now closed) must be filled out and returned with payment in order to secure your booth.
  • All Plants sold must be Aroids, members of the Plant Family Araceae, free from pests and disease, and identified by name.
  • No plants listed on the most current Florida Exotic Pest Plant List in Category I may be sold.
  • Vendors are required to remain present during the sale hours of operations and assist visitors to the event.
  • Vendors should send logos and marketing pics to Allison Miller and Bill Rotolante no later than July 15th.
  • Please see your vendor agreement for all requirements and details.
  • Vendors MUST read and abide by the IAS Statement on Unethical and Unsustainable Collecting.


Important Info

  • Please be prepared to only use your assigned 10x10 area as we will be at max capacity.
  • The organizer will provide 10x10 space to each vendor (limit 1 space due to venue size), tent, and 2 tables. Vendors should bring any additional tables and chairs if needed.
  • Set up time begins at noon on Friday, September 15th, 2022. Vendors must have their spot set up no later than 4PM on Friday, so please plan accordingly.
    • Please park at the South Entrance (Staff Parking) and do not block any other vehicles.
    • No more than 2 vendors are allowed in the garden at a time during load in.
    • Vendors should submit a list of vendor crew/staff to the organizer at least 1 week in advance for the Venue’s Security.
    • No vendor trucks allowed past Cycad Circle.
    • Load in by hand truck only.
  • Sales area will be outdoors as previously done. In addition, please bring shade cloth as some areas do get some sun and for the protection of your inventory.
  • Vendors are responsible for securing their booth an hour before and an hour after the event closes.
  • All vendors are encouraged to enter 1 plant into the show.
  • Unless presented evidence that a customer is not required to pay Sales tax on their purchases, by Florida State law you are required to collect 7% sales tax on the total amount of sale.
  • All vendors are responsible for cleaning up any debris that they may have used during the event and all spaces should be maintained in a neat and organized manner.
  • Failure to follow any of the above instructions could be grounds for rejection from future IAS events.



Member Sales Table

Requirements

  • To sell plants at the members sales table, you must be a member of the IAS in good standing.
  • Members wishing to sell must pre-register to be assigned a vendor number. Please fill out this form no later than September 1st. Additional details and requirements are listed in the form.
  • You must bring a minimum of 10 plants or $300 retail in order to sell at the members table.
  • All Plants sold must be Aroids, members of the Plant Family Araceae, and free from pests and disease.
  • All plants placed on the members sales table must have two plastic plant tags.
    • One tag must have your vendor number, price, and the name of the plant and not be easily removed.
    • The other tag should contain your vendor number, and price and be easily removed. We keep the second tag for accounting purposes.
  • All plants must be dropped off on Friday, Sept 15th between 1pm and 2pm at the Garden House via the South Entrance (Staff Parking). Security will have your name on the list.
  • No plants listed on the most current Florida Exotic Pest Plant List in Category I may be sold.
  • Sellers MUST read and abide by the IAS Statement on Unethical and Unsustainable Collecting.


Important Info

  • The IAS will retain 30% of the sales price, and collect Florida State Sales Tax which will be remitted to the state. A check for the remaining 70% of sales price will be mailed to the selling member within one month of the show.
  • No plant sales/purchases allowed on Friday please. In order to keep things running smoothly, please drop your plants off only. Unless you are volunteering to help setup ahead of time you will not be permitted to stay. We appreciate your understanding.
  • All plants not sold must be removed from the show venue by the member at or before the end of the show on Sunday afternoon (by 3pm), or the excess plants will be disposed of.
  • All vendors should be aware that in an open sales environment like this, plants and/or tags are occasionally misplaced. While we do our best to keep track of everything and this is a very rare occurrence, by offering your plants for sale on the members sales tables, you agree to absolve and indemnify the IAS, its members and officers of any liability for misplaced items.
  • Failure to follow any of the above instructions could be grounds for rejection from future IAS events.



Show Entries

Requirements

  • To enter plants at the show, you must be a member of the IAS in good standing.
  • If you would like to enter your aroid into the show, please fill out this form no later than September 1st. Additional details and requirements are listed in the form.
  • All Plants entered must be Aroids, members of the Plant Family Araceae, free from pests and disease, and identified by name.
  • No plants listed on the most current Florida Exotic Pest Plant List in Category I may be entered.
  • Entrants MUST read and abide by the IAS Statement on Unethical and Unsustainable Collecting.


Important Info

  • Show entrants should bring their select plants for display and for judging between 2pm and 3pm on Friday, September 15th at the Garden House via the South Entrance (Staff Parking). Security will have your name on the list.
  • No purchases/sales allowed on Friday please. In order to keep things running smoothly, please drop your plants off only. Unless you are volunteering to help setup ahead of time you will not be permitted to stay. We appreciate your understanding.
  • Judging for all awards will take place Friday afternoon at 4pm, except "People's Choice" which will be announced Saturday at the Dinner event.
  • All plants must be removed from the show venue by the member at or before the end of the show on Sunday afternoon (by 3pm), or the excess plants will be disposed of.
  • Failure to follow any of the above instructions could be grounds for rejection from future IAS events.
